Right now the tournament is on for Friday, but things may change due to weather. Please check www.chesspanda.com for any updates regarding weather and cancellation.
Please note that with this many players, I can’t call everyone, and it’s hard to answer all phone calls. So please rely on chesspanda.com for updates. I understand that parents might feel more comfortable staying at home even if the tournament is on. For semester members, I will be happy to offer a credit towards entry to any Saturday tournament in this semester or over the Summer, if you choose to withdraw.
Please withdraw from the tournament officially, instead of just no-showing. It really helps the staff and players out a lot. You can do this using the “Enter a Tournament!” form and then choosing the withdraw option. Please note that withdrawing via the form is the best way to avoid forfeit and it is the “official” way to withdraw from an event. Basically our staff is checking the entry forms for last minute withdrawals before posting the first round pairings, but the whole staff can’t exactly check my email, text messages, etc.
Please check www.chesspanda.com before you begin your drive tomorrow. Players are driving from different parts of Texas, and while the weather may seem ok in your part of town, Houston might have different driving conditions. Out of almost 300 events, we canceled tournaments 3 times that I can remember, due to weather (Hurricane Rita, some freezing conditions, and flooding). The plan is to have notice of cancelation online by 5pm at the latest, or much earlier in the day if things look really icy. Again, please feel free to withdraw from the event and make it up on a later Saturday event.
If we cancel the event, we will offer options for those who entered this tournament. The cancellation policies are discussed in the original registration form with the policies. Basically it says that we will offer many ways for players that entered the canceled event to make it up, receive credit, or receive a prorated refund for the particular event.
On another note, several players have not paid the fees for the semester, but have attended events. If we don’t receive a player's membership fee by January 30, the membership will be canceled. I know that parents are busy with so many things and maybe forgot to pay the fees, or assumed someone paid already, and there are a variety of reasons. But I have to cancel ALL unpaid memberships by January 30 to be fair. Please bring a check for $120 (individuals) or $195 (siblings) made payable to Jeffrey Ashton tomorrow. If you’re not coming tomorrow because of weather, please mail the check by this Saturday to Jeffrey Ashton: 3139 W. Holcombe #362 Houston, TX 77063. If you have any questions about membership and payment, please send an email as soon as possible. I am trying to be flexible with our renewing members, so please make sure we have the payment by January 30.
